A Little Bit of Magic

Organizations rely on an every growing list of applications that output business critical content on a daily basis. These files get saved to user desktops, distributed via email, or dumped into dedicated shared drives. It’s up to individuals to ensure they find their way into the ECM which means that, more often then not, these files never see the inside of the system. The information is invisible to the organization and drives eDiscovery costs in the case of litigation. Unfortunately this is an all too common scenario. Many organizations effectively manage only 3% of their information in a way that can be easily found, accessed and analyzed.

Of course your organization isn’t going to throw out their PeopleSoft, NetSuite or Salesforce investments and custom integrations can prove ridiculously expensive and potentially disruptive.

By activating Shinydrive and pointing it to the appropriate drive organizations can automatically route new content into the corporate ECM with no user intervention. This happens in real-time. The created files are now managed within the ECM but are still accessible for end-users as if it were still on the shared drive.

Arthur C. Clarke states “Any sufficiently advanced technology is indistinguishable from magic.

magic2That’s what this is like. The file looks like it’s on the shared drive. It’s accessed from Explorer or the Finder as if it's on the shared drive. You can drag and drop, double-click to activate, and examine it as if it’s on the shared drive. But it’s not in the shared drive — it's in your ECM. It’s not a copy, there aren’t two of the same files mirrored across repositories. It’s not an alias. It’s your file, on the ECM, and every time you access it your ECM notes it in the audit history and changes are all versioned.

With Shinydrive you can activate any folder on the network — maybe one that currently collects application data — and eliminate the need for user input to upload it to the ECM. Shinydrive handles the last mile and ensures your content makes its way into the ECM system. There’s no user training, no disruption of services. Sounds like magic to me.
